How to choose an MCA CRM

A buyer's guide to MCA CRM software: the twelve questions that separate a real merchant cash advance platform from a generic pipeline with add-ons, and how to run the demo.

Every CRM sold to merchant cash advance brokers calls itself all-in-one. Most are a pipeline board with a settings page where you paste in API keys for the parts that actually do the work — the texting, the application form, the statement reading. That distinction doesn't show up on a feature grid, but it decides whether your desk runs on one system or six.

This guide is the set of questions we'd ask if we were buying. Ask them of us too.

First question: what does the vendor actually own?

There are only two ways to build an MCA platform. You write the layers yourself, or you integrate somebody else's and put a login on top. Both can look identical in a demo. They behave completely differently the moment something breaks or you need two parts to talk to each other.

The tell is what happens in onboarding. If setup includes creating a Twilio account, connecting a form builder, or signing a separate contract with an OCR vendor, you're buying a shell. Your bill has line items the CRM doesn't control, and when texts stop sending, support's honest answer is that it's the carrier's problem.

Underwriting

  1. 01Who reads the bank statements — your engine, or a vendor I pay per page?
  2. 02Do you detect stacked positions, and can you show me the deposit that proves each one?
  3. 03Do statements leave your platform to be processed anywhere else?

Placement

  1. 01How many lenders can I submit to by API rather than by email?
  2. 02When an offer comes back, does it land on the deal automatically or does someone re-key it?

Red flags on the demo

  • The demo environment is a sandbox with seeded data and the rep can't create a record live.
  • Statement analysis is shown on a pre-processed file rather than one you hand them.
  • "Integrations" appears in place of a feature — that's a bring-your-own-vendor row.
  • Pricing is per-seat with usage charges that only appear in the contract.
  • Nobody can tell you what happens when a merchant replies outside business hours.

Ask about migration before you ask about price

The cost of switching MCA software is rarely the subscription. It's the two weeks your reps spend re-entering leads, rebuilding templates and re-registering numbers. Ask who does that work, how long it takes, and what happens to your text history — conversations that don't come across are relationships your reps lose.

How to read the pricing

Per-seat pricing punishes you for growing the desk. Usage pricing on messages punishes you for working leads. Neither is disqualifying, but you should model both against your real volume before signing, and you should ask what happens in your busiest month rather than your average one.

Also add up what the platform doesn't include. A cheap CRM plus a texting vendor plus a form builder plus a statement-reading vendor plus e-signature is frequently more expensive than a platform that ships all of it — and it's five renewal dates instead of one.
